Privacy Policy
Overview
AccomPath (“we,” “us,” “our”) provides a public product and services website (AccomPath.com) and a Partner Portal used by employees of approved organizations to source and order ergonomic and workplace equipment. This policy explains what information each surface collects, how we use and store it, and the rights available to you under Canadian privacy law. It applies to both the public site and the Partner Portal.
Information We Collect on the Public Site
The public site is designed to require as little personal information as possible. When you submit an inquiry or contact form, we collect the fields you provide — typically your name, work email, phone number, organization or role, and the message you write. We also use privacy-friendly analytics to understand which pages are useful and where visitors run into friction; this analytics does not use invasive tracking cookies or build cross-site advertising profiles. We do not require an account to browse products or services.
Information We Collect in the Partner Portal
The Partner Portal is available only to employees of organizations AccomPath has approved. Portal accounts require a work email, first and last name, phone number, and job title. Once an organization is using the portal, we store organization details (billing and shipping contacts, approved catalog, sponsorship arrangements), order records (products selected, pricing snapshots, approval and submission history), and the shipping information needed to deliver equipment to a recipient — typically a name, shipping address, and an optional phone number and email for delivery coordination.
What We Do Not Collect
AccomPath does not collect or store medical, injury, diagnosis, or treatment information, under any circumstances. The platform is built around equipment and workstation needs, not clinical detail. Ergonomic assessment reports and any similar clinical documents must never be uploaded to AccomPath, whether through the public site, the Partner Portal, or in correspondence with our staff. If a file containing this kind of information reaches us in error, we remove it and do not retain a copy.
Recipient Contact Permission
Every order in the Partner Portal carries a recipient contact permission set by the ordering organization: allowed, limited, or not allowed. This setting is enforced by AccomPath’s systems, not left to individual judgment. When a recipient’s permission is set to not allowed, AccomPath does not contact that recipient directly — no delivery emails, no scheduling invites, no tracking notifications. Not Allowed means no contact, without exception. All communication in that case runs through the ordering organization instead.
How We Use Your Information
We use the information above to operate the sites, respond to inquiries, process and fulfill portal orders, coordinate delivery and installation, produce the order documentation organizations rely on, and maintain accurate billing records. We do not sell personal information, and we do not use portal data for advertising.
Service Providers
AccomPath relies on a small number of processors to run its systems, and each has access only to what its function requires:
- Supabase — our database and file storage.
- Resend — transactional email, such as order updates and confirmations.
- Web3Forms — handling public inquiry form submissions.
We do not share information with data brokers or use third-party advertising networks.
Data Retention
When an account, order, or organization relationship ends, our default is to deactivate or archive the record rather than delete it outright. This preserves the order history and documentation organizations rely on for their own files, and it supports our audit and compliance obligations. Where deletion is legally required, or specifically requested and no retention obligation applies, we will delete the applicable personal information.
Your Rights
AccomPath is a Canadian company and orients its privacy practices to the Personal Information Protection and Electronic Documents Act (PIPEDA). You may ask what personal information we hold about you, request a correction, or ask questions about how it is used. We respond to verified requests within a reasonable time.
Security
We limit access to personal information to the staff and systems that need it to do their job, and we rely on our processors’ security controls (including encryption in transit and at rest) alongside our own access controls. No system is perfectly secure, and we continue to invest in this as the platform grows.
Changes to This Policy
We may update this policy as the platform evolves. The effective date at the top of this page reflects the version currently in force.
